Refund Policy

This Refund and Cancellation Policy explains the terms regarding appointment cancellations, missed appointments, refunds, and payment obligations for psychotherapy services provided by BlossomEd Counselling and its Registered Psychotherapists practicing in Ontario, Canada.

By booking or attending services, clients acknowledge and agree to the following policy.

1. Appointment Cancellations

Clients are asked to provide at least 24 hours notice if they need to cancel or reschedule an appointment.

Cancellations made with more than 24 hours notice will not be charged.

Cancellations made with less than 24 hours notice may be subject to the full session fee.

2. Missed Appointments (“No-Shows”)

If a client does not attend a scheduled appointment and no notice is provided, the appointment will be considered a no-show.

No-shows are generally charged the full session fee.

Insurance providers typically do not reimburse missed appointment fees.

3. Late Arrivals

If a client arrives late for a scheduled session:

  • The session may be shortened to avoid impacting other appointments.

  • The full session fee may still apply.

  • Sessions that are significantly shortened due to lateness are generally not eligible for partial refunds.

4. Refunds for Services

Psychotherapy services are professional services delivered at the time of the appointment. As such:

  • Fees for completed sessions are generally non-refundable.

  • Refunds will not typically be issued because a client is dissatisfied with therapeutic outcomes, as outcomes cannot be guaranteed.

  • Exceptions may be made at the sole discretion of the therapist in cases involving billing errors or exceptional circumstances.

If a billing error occurs, clients should contact the practice promptly to request correction.

5. Prepaid Sessions or Packages

  • Unused prepaid sessions may be refundable unless otherwise specified in writing.

  • Administrative fees may apply.

  • Completed sessions are non-refundable.

  • Refund requests must be submitted in writing.

6. Insurance Reimbursement

  • Clients are responsible for understanding their own insurance coverage and eligibility for reimbursement.

  • The practice does not guarantee that services will be reimbursed by any insurance provider or benefits plan.

  • Denied insurance claims do not qualify as grounds for refunds.

7. Emergency or Exceptional Circumstances

The therapist may waive cancellation fees or provide refunds in cases involving emergencies, severe illness, hazardous weather conditions, or other exceptional circumstances, at their sole discretion.

8. Therapist Cancellations

If the therapist must cancel an appointment:

  • Clients will not be charged.

  • Clients may reschedule at no additional cost.

  • If payment was collected in advance for a cancelled session, a full refund or credit will be provided.

9. Payment Disputes

Clients who believe they were charged incorrectly should contact the practice as soon as possible to discuss the matter.

Attempts to reverse or dispute valid charges through financial institutions without first contacting the practice may result in suspension or termination of services.

11. Policy Updates

This policy may be updated from time to time to reflect changes in practice procedures, legal requirements, or regulatory guidance. The most current version will be made available upon request or posted on the practice website.
